Step-by-Step: Backing Up Microsoft 365 Shared Mailboxes to Amazon S3
Follow these steps to back up your Microsoft 365 shared mailboxes to Amazon S3 using cloudHQ:
1. Access the Sync and Backup Dashboard
Log in to your cloudHQ account and navigate to the Sync and Backup tab. This is where you’ll set up the backup process.
2. Choose the Multi-User Backup Option
Select the option to sync, back up, or migrate multiple users’ accounts. This ensures all shared mailboxes in your organization can be backed up.
3. Select Microsoft 365 as the Source
Choose Microsoft 365 as the cloud platform for your user directory.
4. Choose the Shared Mailbox to Back Up
After selecting Microsoft 365 as your source, you’ll be guided through a series of steps to identify the shared mailbox you want to back up. Follow these steps:
First, you will see a screen showing available storage services where backups can be created. This is the stage where you verify the source and location for your backup.
Next, you’ll select Microsoft 365 Outlook. You can drag it or double click it to the first box to identify where the source platform is that you want to backup.
Once the Microsoft 365 Outlook is selected, confirm your choice and proceed to the next step.
Finally, you’ll see a detailed view of the mailboxes available for backup. As an admin, all mailboxes, including shared mailboxes will be seen here. This allows you to make sure the correct shared mailbox is selected before moving forward. Click the “Next” button to continue to the location selection stage.
5. Select Amazon S3 as the Location
Of course we want to reiterate that you can choose any cloud storage you prefer, but for this example, we are selecting Amazon S3 as the destination for the backup. Selecting Amazon S3 ensures the Microsoft 365 Outlook mailbox is stored securely on a separate platform.
6. Create a Backup Folder
Create a folder in Amazon S3 to organize your Microsoft 365 shared mailbox backups. You can do this directly in cloudHQ, and it will replicate in your Amazon S3 account. Simply click on “Create new folder.”
7. Name Your Backup Folder
Give your backup folder a meaningful name, such as “Microsoft 365 Shared Mailbox Backup.”
8. Complete the Setup
Click “Next” (image above) and “Finish” (image below) to complete the setup and start the backup process. cloudHQ will now back up your shared mailbox data from Microsoft 365 to Amazon S3 in real-time.
